Jana is organized into four main navigation levels:

• Administration view for multi-facility-wide operations, configuration, and reporting (Only Admin level users have access to this section)
• Facility view for facility-wide operations, configuration, and reporting
• Neighborhood view for unit-level workflows and daily execution
• Resident view for resident-specific charting, history, and care details

Use the sections below to understand what each navigation link does and what you will see when you click it.

Facility navigation

Overview

Provides a facility-level snapshot of what needs attention today, including alerts, baths due, nurse tasks, restorative programs, caregiver progress, and observations needing follow-up.

Residents

Shows a facility-level list of residents with key status indicators. Use this to browse and navigate into resident profiles.

Alerts

Displays facility-wide alerts and changes in resident conditions that require nursing review and resolution.

Nurse Tasks

Shows clinical tasks that need action, often tied to alerts and documentation inconsistencies that impact resident care quality and CMI.

Messages

Displays messaging across the facility. Messages are resident-focused and visible to all staff with unread indicators.

Announcements

Used to create and manage facility announcements. Includes required acknowledgments for compliance and FYI announcements for general updates.

Events and Appointments

A central place to manage facility group events and shared activities. Events can be created, assigned to neighborhoods, and tracked for attendance.

MDS Insights

Provides clinical insights and documentation indicators that support MDS workflows and reimbursement related metrics.

Shift History

Displays shift-level charting completion, restorative minutes, check-ins, and caregiver activity across the facility.

Charting History

Provides a facility-wide view of charting activity across residents, including completion and documentation trends.

Other Reports

Contains additional facility reporting tools depending on your configuration.

Charting Settings

Controls observation types and required charting frequency for ADLs, vitals, and other observations. Also supports role-based charting privileges and resident-level customization.

Care Task Manager

Manages care task templates for the facility. Nurses and above can create, categorize, and set frequency requirements for caregiver tasks.

Restorative Nursing

Manages restorative nursing programs and templates. Includes restorative program library and charting privileges settings.

Lifestyle Activity Settings

Allows configuration of activity tracking and related settings for lifestyle programming.

Staff Directory

Shows a list of facility staff and key information for internal reference, including shift and check-in history..

Platform Access

Used to grant hub and app access, assign roles, and reset temporary PINs or passwords.

Superuser Settings

Contains advanced settings used by superusers or administrators depending on permissions.

Neighborhood navigation

Neighborhood navigation is used for unit-level execution and day-to-day care tracking.

Residents

Shows a neighborhood resident list with watches, unread messages, active alerts, and caregiver charting progress.

Messages

Neighborhood-level view of resident messaging and unread items.

Active Alerts

Displays active alerts for residents within the neighborhood with badge indicators for follow-up.

Nurse Tasks

Shows nurse tasks that apply to residents in the neighborhood for faster unit-level clinical review.

Bathing

Shows bathing schedule and completion calendar for the neighborhood, including missed and refused baths and documentation details.

Toileting

Displays neighborhood toileting overview and trends, including bowel movement monitoring and badges for residents needing follow-up.

Nutrition

Displays meal intake tracking, low intake trends, and nutrition documentation status for the neighborhood.

Restorative

Shows all restorative programs currently being performed in the neighborhood and what restorative charting is required today.

Shift History

Neighborhood-level shift activity view showing completion percentages, missed charting, refusals, and details per shift.

Check-Ins

Tracks check-ins recorded through Jana pucks and caregiver presence at the neighborhood level.

Rooms

Shows room list and room-level details for the neighborhood, including visibility into how residents are organized.

Resident navigation

Resident navigation is used for resident-specific charting, history, and clinical review.

Overview

Provides a snapshot of the resident’s recent charting, toileting status, vitals summary, mood and behavior, skin observations, caregiver reports, and task notes.

Alerts

Shows all active and historical alerts for the resident with badge indicators when action is needed.

Messages

Resident-specific group message thread visible to all staff with unread indicators.

Watches

Shows active watches and allows users to add or remove watch tags for the resident.

Stickies

Resident-specific notes for preferences and reminders. Stickies can be pinned to remain visible in the app.

Calendar

Used to add and view resident-specific appointments or events. Saved appointments appear on the resident to-do list for staff.

Bathing

Shows resident bathing schedule, history, missed and refused baths, and allows schedule updates.

Dressing and Hygiene

Resident charting view for dressing and hygiene. Frequency and charting expectations are managed through resident charting settings.

Mobility

Shows resident mobility charting history and related observations.

Mood and Behavior

Shows mood and behavior charting history and the most recent documentation.

Nutrition

Shows the nutrition calendar, meal intake patterns, refusals, fluid tracking, and nutrition related documentation.

Skin

Shows skin observations such as scratches, redness, and skin tears, including history and recent entries.

Toileting

Toileting documentation organized by overview, bowel, bladder, and voiding studies.

Toileting Overview

High-level toileting status and plan for the resident.

Bowel

Full bowel history, charting, and observations.

Bladder

Full bladder history, charting, voiding device documentation, and observations.

Voiding Studies

Used to start, manage, or discontinue voiding studies for clinical assessment.

Vitals

Shows vitals charted in Jana by caregivers, including trends and history. Vitals entered directly into the EHR are not pulled into Jana.

Care Tasks

Shows care tasks applied to the resident. Tasks can be turned on or customized for the resident.

Restorative

Shows restorative nursing programs assigned to the resident, including details and completion history.

Task History

Displays all scheduled, completed, and missed tasks for the resident with color-coded status indicators.

Function Score Analysis

Clinical tool to review ADL baselines that make up the function score, compare documentation, and run analysis recommendations.

Check-Ins

Shows check-in history recorded by caregivers via Jana puck taps.

Jana Staff

Shows staff involvement and visibility related to the resident.

Caregiver Shift Reports

Shows caregiver shift reports for the resident, including notes, timestamps, and historical context.

Weekly EHR Reports

Provides access to weekly report documentation related to the resident, depending on your facility configuration.

You can grant platform access to caregivers or nurses from the Platform Access settings within a facility.

To grant access:

1. Navigate to Facility and select Platform Access.

2. Search for the individual you want to grant access to.

3. Toggle the access switch to turn their platform access on. When active, the switch will be green.

By default, Jana assigns the lowest access level (Aide). This role only has access to the Jana app on the Jana phones.

To change a user’s role:

1. Click the Edit (pencil) icon on the right side of the toggle switch.

2. Select the appropriate role (such as Nurse or higher).

Important:
If you change a user’s role to Nurse or above, their login credentials will change from a temporary PIN to a temporary password.

Once access is enabled, the user can log in using their assigned temporary password and the username displayed next to their name. 

You can control how frequently caregivers are required to chart ADLs or Vitals from your facility’s Charting Settings.

I want to change charting frequency across multiple facilities (Organization wide):

To update charting frequency organization wide:

1. Make sure you are in the administration view in the Jana Hub (Administrator access only)
2. Select Charting Settings.
3. You’ll see a list of all observations, grouped by type (such as ADLs or Vitals).
4. Select an observation to set how often caregivers are required to chart it.

I want to change charting frequency at just my facility:

To update charting frequency for a single facility:

1. Go to Facility and select Charting Settings.
2. You’ll see a list of all observations, grouped by type (such as ADLs or Vitals).
3. Select an observation to set how often caregivers are required to chart it.
4. The setting will be defaulted to the organization setting but you are able to override at the facility level.

From these pages, you can also:

• Choose who can chart each observation, such as only caregivers or additional roles like nurses.
• View which residents the setting applies to.
• Customize charting frequency by resident, allowing different residents to have different charting requirements for the same observation.

I want to change charting frequency for a specific resident:

To update charting frequency for a single resident:

1. Go to the resident's page and select Charting Settings in the resident menu.
2. You’ll see a list of all observations, grouped by type (such as ADLs or Vitals).
3. Select an observation to set how often caregivers are required to chart it.

Always click "Save" to apply your changes. 

You can view all facility events and appointments by navigating to:
Facility → Events and Appointments

This page displays:

• All scheduled group events for the facility in a calendar view

• Upcoming and past events

• Events assigned to a specific neighborhood or the entire facility

From this view, you can also select an event to:

• View event details

• Edit or delete the event (if you have permission)

• Review resident attendance after the event occurs

This page serves as the central location for managing and reviewing all facility-level events and appointments.

You can pause charting for a resident directly from the resident profile.

To pause charting:

1. Navigate to the resident page.

2. In the header on the right side, click Pause Charting.

Once charting is paused:
• Caregivers will no longer be able to select or chart on the resident in the Jana app
• The resident will still appear in the app, but will be grayed out
• No charting prompts, missed events, or empty states will be generated

Resume charting the same way by:

1. Navigating to the resident page.

2. In the header on the right side, click Resume Charting.

You can create a resident-specific calendar event directly from the resident profile.

To create a resident-specific event:

1. Navigate to the resident page.

2. Select Calendar from the resident menu.

3. Click the option to add a new appointment.

4. Enter the event details, including:
   • Event title and description
   • Date and time
   • Location
   • Any relevant notes

5. Save the event.

Once saved, the event will appear on the resident’s to-do list, allowing caregivers to support and prepare for the event as scheduled.
